There are countless moving parts when planning an office relocation—and not enough time or space here to cover them all. So for now, we’re focusing on just one critical area…

Your technology.

We’ll leave the many non-tech items—like furniture, flooring, space planning and design, movers, and more—to you and your project management team. What follows is a focused checklist of the key technology-related decisions and tasks you should address to ensure a smooth transition.

  • Internet service:
    • Reliability and speed are non-negotiable.
    • What providers are available at the new location?
    • IDeACOM will obtain multiple quotes based on your needs and will coordinate the paperwork and installation on your behalf.
  • Phones:
    • What do you need for the new office?
      • The same number of phones as you have now, more, or fewer phones?
      • If you’re currently using a cloud-based VoIP platform, you can most likely bring your existing phones.
    • Also refer to Wiring and Network Infrastructure below.
  • Faxing:
    • Is faxing still part of your business?
    • Options include Web Faxing (inbound to email and outbound from your desktop), or do you still need a traditional fax machine/multi-function device (MFD)?
    • We can help convert your fax line to the cloud or integrate a fax adapter for traditional machines.
  • Phone number porting:
    • No porting needed if you’re on one of our VoIP platforms (just a 911 address update).
    • If you’re moving off a legacy phone system or switching VoIP providers, we’ll handle the port request for you.
  • 911 address update:
    • It is essential (and required by law) that we update your new physical address for all office phone numbers, and for any remote users (if applicable).
  • Wiring:
    • Let’s map out the number of cable drops required per location: offices, cubicles, printers, access points, etc.
  • Network infrastructure:
    • Are any of your current on-premise apps or servers being migrated to the cloud?
    • Will you move your firewall, or install a new one?
    • Are your network switches due for a refresh? Most moves involve new gigabit switches.
    • Power over Ethernet (PoE) is important for phones and voice gear.
    • How many wireless access points will be needed for your Wi-Fi network?
  • Computers and peripherals:
    • What will be moved vs. replaced?
    • Consider desktops, laptops, monitors, printers, docks, etc.
    • Is it time for a hardware refresh or upgrade?
  • Cellular coverage:
    • Reliable cellular service is crucial in addition to having a strong Internet service.
    • If coverage is weak, IDeACOM can evaluate and recommend a cellular booster solution.

If you plan these technology elements proactively, your move will be smoother and you’ll reduce downtime dramatically. IDeACOM is here to guide and support you through each step.
